Configuring a Photo Upload Question

A Photo Upload question allows users to upload image files as part of their submission.

This question type is commonly used for profile photos, project images, artwork submissions, event photos, and other visual documentation.

Adding a Photo Upload Question

  1. Navigate to the desired section of your form.

  2. Select Add Question.

  3. Select Photo Upload from the Question Type dropdown.

  4. Configure the available settings.

  5. Select Save.


Configuration Options

Question Text

The question or prompt displayed to users.

Example:

  • Please upload a professional headshot.

  • Upload a photo of your completed project.

  • Attach an image that represents your organization.

Best Practice: Clearly specify what image should be uploaded and any requirements regarding image quality or content.


File Label

The label displayed on the upload button or upload area.

Example Labels:

  • Profile Photo

  • Project Image

  • Organization Logo

  • Artwork Submission

Tip: Use a descriptive label so users can easily identify what image is being requested.


Choose Valid File Type

Determines which image formats users are permitted to upload.

Available file types include:

File Type

Common Uses

PNG

Logos, graphics, screenshots, images requiring transparency

JPEG & JPG

Photographs, headshots, project photos

GIF

Animated images or simple graphics

Important: Users will only be able to upload image files that match the selected file type(s).

Best Practice: Select only the file types necessary for your use case to maintain consistency across submissions.


Mandatory Field

Determines whether users must upload an image before submitting.

Enabled

  • Users must upload a photo.

Disabled

  • Users may submit without uploading a photo.


Required for Draft Submission

Determines whether users must upload an image before saving a submission as a draft.

Enabled

  • Users cannot save a draft without uploading an image.

Disabled

  • Users can save a draft and return later.

Note: This setting is generally not recommended unless the image is required at the beginning of the submission process.


Required Field Message

The message displayed when a user attempts to submit without uploading a required image.

Example Messages:

  • Please upload an image.

  • A photo is required before continuing.

  • Profile photo upload is required for submission.


Help Hover Text

Additional instructions displayed when users hover over the help icon.

Example Uses:

  • Upload a recent professional headshot.

  • Ensure the image is clear and high quality.

  • Logos should be uploaded in PNG format when possible.

Best Practice: Use Help Hover Text to communicate image requirements, recommendations, or formatting guidelines.


Hide Question From Reviewers

Determines whether reviewers can view the uploaded image.

Enabled

  • The question and uploaded image are hidden from reviewers.

Disabled

  • Reviewers can view the question and uploaded image.

Common Uses:

  • Internal administrative images

  • Profile photos not required during review

  • Workflow-related documentation


Hide Question From Submitters

Determines whether submitters can view the question.

Enabled

  • The question is hidden from submitters.

  • The question can still be viewed and completed by administrators, if applicable.

Disabled

  • The question is visible to submitters.

Important: When using an E-Reference question type, this setting must be enabled. E-Reference questions are intended to be completed by reference providers and should not be visible to applicants.

  • E-Reference questions

  • Internal administrator-only fields

  • Workflow tracking information

  • Administrative images

Question Type

Best Used For

Photo Upload

Image files such as PNG, JPG, JPEG, and GIF.

File Upload

Documents such as PDFs, Word files, text files, and spreadsheets.

If users need to upload an image, use Photo Upload. If users need to upload a document, use File Upload.


Best Practices

  • Clearly describe the image being requested in the Question Text.

  • Use a descriptive File Label that matches the expected upload.

  • Limit accepted file types to those necessary for the submission.

  • Encourage users to upload high-quality images.

  • Use PNG for logos and graphics when image quality is important.

  • Verify whether reviewers need access to uploaded images before making them visible during the review process.

  • Consider privacy requirements when collecting profile photos or personal images.
