Inviting Users Into the System

Once your users have been imported into the platform, they'll appear in the Manage Users list. Importing adds users to the system but does not automatically send them an email. Admins control when and how users are contacted. 

From the Import Summary page, admins can choose to send: 

  • An Invite Email: a customizable message that you can edit before sending (no password on sign-in details). 
  • A Password Email: a system email that automatically creates a password for the users and provides their login information.

Sending the Invite Email

  1. On the Import Summary page, click the Invite Users button and select Send Invite Email.
  2. Select the users you wish to invite, then click Send Invite Email. To review your message before sending, select Preview.
  3. Preview the email content. Please note that the Invite Email will be sent individually to each selected recipient.
  4. When you are ready to send the Invite Email, click Send Email. 

Sending the Password Email 

  1. On the Import Summary page, click the Invite Users button and select Send Password Reset Email.
  2. Select the users you wish to invite, then click Password Reset Email. To review your message before sending, select Preview.
  3. Preview the email content. Please note that the Password Reset Email will be sent individually to each selected recipient.
  4. When you are ready to send the Password Reset Email, click Send Email. 

How to Update the Invite and Password Reset Email Templates

  1. From your Admin Dashboard, navigate to Manage > System Emails
  2. You will see a list of all System Emails
    • Invite Email: The email sent to new users is called Invitation Email to New Users.
    • Password Email: The system-generated message is called Reset Password.
  3. To edit an email template, click the pencil icon next to the email you’d like to update. After making your changes, click Submit to save.

Best Practices 

  • Use the Invite Email for a friendly, customizable introduction.
  • Send the Password Email only when access should begin.
  • Confirm email addresses before sending (password emails cannot be recalled). 
  • If users lose their password, you can resent a Password Email at any time.
