Create a Schedule
Utilize the Email Scheduler feature to set up your current Custom Emails for scheduling, allowing you to specify the date and time for sending based on specific conditions you define.

To schedule an email, start by accessing your Admin Dashboard and selecting the specific program you want to schedule the email for.
- Navigate to the Program Navigation Menu and click on Emails. From there, select Schedule Email to proceed.
- To schedule an email, click on the Add Schedule button.
- Fill in the required information:
- Schedule Name: Enter a descriptive name for the schedule. (for your information only)
- Target Audience: Your Target Audience determines who will receive the email at the scheduled date and time.
- DRAFT Application Submitters - target all DRAFT submissions
- FINAL Application Submitters - target all FINAL submissions
- Incomplete Reference Request - To Reference Provider - target the reference provider who hasn't completed their reference request.
- Incomplete Reference Request - To Applicant Submitters - target the applicant when the reference request hasn't been received.
- Email Template: Choose the desired email template from the available options.
- Question Value: If applicable, target by question value. (Please note, this is dependent on how your program is setup).
- Tags: If your program has specific tags setup, you can then filter by tags.
- Scheduled Date/Time: Select a date/time you want your scheduled email to be sent.
- CC and BCC Settings: If you want to add cc or bb email addresses. Note the email address added will be cc'd and bcc'd on every email sent.
- After entering all the necessary information, click on the Submit button to proceed.
Activate The Schedule
After creating your Scheduled Email, you must enable it by toggling the switch to ON in the STATUS column. This will change the colour from Red to Green, indicating that the schedule is active. Active schedules exclusively execute at their designated date and time.
Please be aware that you can schedule a maximum of three (3) emails at a time.
Deleting a Scheduled Email
To stop an email from being sent, disable the schedule by toggling the switch to OFF in the Status column. This will change the colour from Green to Red. Once the schedule is disabled, click on the Delete button.
Pending Schedules
You can find any pending scheduled emails in the "Pending Schedules" list. Make sure to check if your new schedule is included in this list.
There will be a delay between when an email gets moved from "pending scheduled" to "past scheduled".
Past Schedules
To review the status and details of emails that have already been sent, you can check the Past Schedules section. This will provide you with information about previously scheduled emails.View this instructional video for a step-by-step guide:
