Understanding the Import Tool
The Import Tool enables admins to efficiently add or update large groups of users, reviewers, or fellow admins in a single step, minimizing manual data entry. By preparing a single file with all required user information, you can upload and process records in bulk, allowing the system to automate account creation or updates.
Before uploading a file to the import tool, it's important to set up your file properly to make sure data is added correctly to the platform. The following sections include important concepts and requirements for correctly setting up your files.
Best Practices for Preparing Import Files
- Use the provided template
Always start from the Download Template option in the import tool to ensure the correct structure and headers. - Avoid blank rows or columns
Empty rows or columns may cause validation errors or skipped data - Keep data clean and consistent
- Remove extra spaces or hidden characters
- Use consistent capitalization (e.g., "Engineering" not "engineering" or "ENG")
- Verify there are no duplicate emails
- Save as Excel (.xlsx) before uploading
Although .csv is accepted, Excel format ensures better compatibility with the import tool.
Technical Requirements and Limits
All files being imported into RQ Platform must meet the following technical standards to ensure a smooth and successful upload process:
- Accepted file formats: You may upload files in .csv, .xlsx, or .xsl format.
- Single Sheet only: The file must contain only one worksheet (tab). The system cannot process workbook with multiple sheets; if additional sheets are detected, you will receive an error message.
- Header row required: The first row of your file must include column headers.
- Each header should correspond to a data attribute in RQ (ex. First Name, Email, Organization).
- Column order does not affect the import - mapping happens during upload.
- Required columns: The following columns must always be included
- First Name
- Last Name
Map Columns to Fields
Once you have uploaded your file in the import tool, there's a step in the import process when you'll be prompted to match the column headers in you file to RQ fields. Mapping correctly ensure that your data goes to the right place when added.
For example, you'd map the column header Email to the Email field type.
