Configure Reply-To Addresses
Set a custom Reply-To address to help improve email deliverability and ensure replied are routed to the right inbox.
What is a Reply-To Address?
A Reply-To address determines where a recipient's response is sent when they reply to an email from RQ Platform.
By configuring a Reply-To address, you can:
- Help improve email deliverability
- Direct replies to the appropriate team or inbox
- Used different reply addresses for different programs
- Maintain a consistent reply address across system emails
Configure a Reply to Address at the System Level
Use the system-level Reply-To address when you want to establish a default Reply-To address across your RQ Platform environment.
To configure the system-level Reply-To address:
- Navigate to your System Settings.
- Locate the Email or Reply-To settings.
- Enter the default Reply-To email address.
- Save your changes.
The system-level address can serve as the default for emails that do not have a specific program-level Reply-To address configured.
Configure a Reply to Address at the Program Level
Use the program-level Reply-To address when you want a specific program to direct email replies to a particular inbox or team.
To configure a program-level Reply-To address:
- Navigate to the Program you want to update.
- Go to Settings.
- Locate the Email Settings tab.
- Find the settings Email Address Used for Replies.
- Enter the email address you want recipients to reply to.
- Save your changes.
Once configured, emails associated with that program will use the specified Reply-To address.
Example: If your program is managed by a dedicated program team, you can set the Reply-To address to that team's shared inbox so replies are routed directly to them.
Program vs. System-Level Settings
| Setting | Best for | Scope |
|---|---|---|
| System-Level Reply-To | A standard reply address across your platform | All applicable programs |
|
Program-Level Reply-To |
A dedicated reply address for a specific program | Individual program |
Which should I use?
If your organization uses one shared inbox for responses across all programs, a system-level Reply-To address may be the best option.
If different programs are managed by different teams, configure a program-level Reply-To address so responses are routed to the appropriate team.
Best Practice
Use an inbox that is actively monitored by your program or support team. This ensures recipients have a clear places to send questions or responses and helps your team respond promptly.
