How To Schedule Mentorship Emails

Learn how to schedule emails for your mentorship program. 

Create an Email Template

Before scheduling an email, you must first create or edit an email template.

  1. Log in to the platform.

  2. Navigate to the Admin Dashboard.

  3. Select the program you wish to manage.

  4. From the Program Navigation Menu, click Emails.

  5. Select Email Templates.

  6. Click New Template to create a template, or select an existing template to edit.

Configure the Email Template

  1. Select the Audience for the email. You may choose Mentees, Mentors, or Both Mentors and Mentees.

  2. Select the Target Type, which determines where the email will be sent from (for example, the Signups page or the Engagements page).

  3. Add your email content in the template editor.

  4. Insert personalization fields if you would like to customize the message for recipients.

  5. Click Save to store the email template.

Schedule the Email

  1. From the Program Navigation Menu, click Schedule Emails.

  2. Click Create New Schedule.

  3. Select the Recipients for the email. The recipients should match the audience defined in the email template.

  4. (Optional) Refine recipients using question responses, such as targeting users in a specific time zone.

  5. (Optional) Add CC or BCC recipients if you would like additional contacts to receive copies of the email.

    • If a recipient is added as BCC, they will receive a copy of each individual email sent, since the system sends emails as a mail merge.

  6. Select the Email Template you created.

  7. Choose the date and time you would like the email to be sent.

  8. Review the email preview to confirm the content is correct.

  9. Click Submit Schedule to save the scheduled email.

  10. Toggle Activate to On to ensure the email will be sent at the scheduled time.

Once activated, the scheduled email will display the send date, status, and estimated recipient group size.
